Automated Communication Tools:
ParkPro’s ‘Automated Communications Tools’ was designed to increase program participation and facility usage. Our philosophy was developed from an interested perspective by individuals that have participated as Program Directors, Family Participants, Program Instructors, Coaches and Officials. From this experience we found that getting updated information on a consistent basis to all people affected by upcoming events, news or general modifications to existing events and news was a challenge when working with volunteer and seasonal part time staff. There are two main features in our communications tools, the Park District web site and email.
Park District Web Site Tools:
Our web site solution is integrated into ParkPro, outputting pertinent data to each individual that is involved in the community and in specific programs within the Park District. Some of the information that is entered in through the ‘Tiered Administration System’ is displayed to the general public without requiring a login. These might include Park District Events and Park District News that you want everyone to see. It may also include general program information that you do not want to restrict access to, such as league results or Preschool schedules. Generally this information is accessible through the home page of your web site.
In addition, each participant in a program is provided with a username and password to access their household information. When they login they can see specific information on their programs, such as upcoming events and program news. No matter what level they participate at they are able to see exactly what is going on with the programs they are involved in. In addition they are able to pay off balances and see their invoice history with the park district.
Email Communications:
To provide a more convenient solution we have built in an automated email system that communicates information pertaining to a particular household’s participation.
An example of this would be automatically sending out the program schedule once it has been completed. Sending out a weekly schedule reminder so they know what is coming up and where it is taking place at. We also send out automatic emails when an event is cancelled or re-scheduled. Everything you could want to communicate automatically to your community is handled by the ParkPro email communications system.
